PitchWon is an AI-powered proposal generation platform for freelancers, operated by an individual founder based in India. For privacy-related questions, contact us at support@pitchwon.com.

We collect only what we need to provide our service:

• Account information — your name and email address when you register.
• Profile information — freelance skills, experience, and preferences you provide to personalise your proposals.
• Content you create — job descriptions you paste, proposals and contracts generated, and outcomes you record.
• Usage data — pages visited, features used, proposals generated, and session timestamps to improve our product.
• Payment information — your subscription plan status and transaction reference IDs. We do not store your card details. All payment data is handled by our PCI-DSS compliant payment processors.
• Technical data — IP address, browser type, device type, and referring URLs collected automatically when you use our service.
• Cookies — we use essential cookies to maintain your session and optional analytics cookies to understand how users interact with our product. You can disable non-essential cookies at any time.

We use your information to:

• Provide and operate the PitchWon service
• Generate personalised AI proposals based on your inputs
• Process payments and manage your subscription
• Send transactional emails including account verification and billing receipts
• Respond to support requests
• Monitor for abuse and enforce our Terms of Service
• Analyse aggregate usage patterns to improve the product
• Comply with applicable laws

We do not sell your personal information. We do not use your data for advertising. We do not share your data with third parties except as described in Section 4.

We work with carefully selected third-party providers to operate our service. These providers access your data only to perform specific functions on our behalf and are contractually prohibited from using it for any other purpose:

• Cloud infrastructure and hosting providers — for running our application and storing data securely.
• Authentication and database providers — for managing user accounts and storing your data securely with row-level security.
• AI processing providers — your job description and profile details are sent to our AI provider to generate proposals. Our AI provider does not use your data to train its models by default.
• Payment processors — for processing subscription payments. Indian users are served by our Indian payment processor. International users are served by our international payment processor. Neither stores your full card details.
• Email delivery providers — for sending transactional emails.
• Analytics providers — for understanding aggregate usage patterns. We use privacy-first analytics that do not track individuals across websites.

All providers are bound by data processing agreements and applicable privacy laws.

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, we process your personal data under the following legal bases:

• Contract performance — processing necessary to provide the service you signed up for.
• Legitimate interests — improving our product, preventing fraud, and ensuring security.
• Legal obligation — complying with applicable laws including tax and financial regulations.
• Consent — for optional communications and non-essential cookies, where we ask for your consent separately.

PitchWon is operated from India. If you are accessing our service from the EEA, UK, or other regions with data protection laws, your data may be transferred to and processed in countries where our service providers operate, including India and the United States. We ensure appropriate safeguards are in place for such transfers in accordance with applicable data protection laws.

We retain your account data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where retention is required by law. Payment records are retained for 7 years as required under Indian financial regulations. Proposal and contract content is deleted when you delete it or when your account is closed.

Depending on your location, you may have the following rights regarding your personal data:

• Access — request a copy of the data we hold about you.
• Correction — request correction of inaccurate data.
• Deletion — request deletion of your account and associated data.
• Portability — request your data in a machine-readable format.
• Objection — object to certain types of processing.
• Restriction — request we restrict processing of your data in certain circumstances.
• Withdraw consent — where processing is based on consent, withdraw it at any time.

To exercise any of these rights, email support@pitchwon.com. We will respond within 30 days. If you are in the EEA, you also have the right to lodge a complaint with your local data protection authority.

We implement industry-standard security measures to protect your data including encrypted data transmission over HTTPS, securely hashed passwords, row-level security on all database tables ensuring users can only access their own data, and PCI-DSS compliant payment processing. No system is 100% secure. If you discover a security vulnerability, please report it responsibly to support@pitchwon.com.

PitchWon is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected data from a minor, contact us immediately at support@pitchwon.com and we will delete it promptly.

We use two types of cookies. Essential cookies are required for the service to function including keeping you logged in. These cannot be disabled. Analytics cookies help us understand how users use PitchWon in aggregate. These are optional and can be disabled in your browser settings or by contacting us.

We may update this Privacy Policy periodically. We will notify you of material changes by email or by posting a notice on our website at least 14 days before changes take effect. The Last Updated date at the top of this page reflects the most recent revision. Continued use of PitchWon after changes take effect constitutes acceptance of the updated policy.

This Privacy Policy is governed by the laws of India including the Information Technology Act 2000 and its amendments, and the Digital Personal Data Protection Act 2023. For users in the EEA, applicable GDPR provisions also apply. Any disputes are subject to the jurisdiction of courts in India.
